How to Manage Users on Mindwell Rx Academy


Account Privileges


Account Roles

As a branch supervisor you have two different roles on the website: as a Learner and as an Administrator. You can switch between the two roles by clicking your name and then clicking on the drop down box for learner or administrator. Listed below are the main tasks you can complete in each role:

Administrator:

  • Add, edit or delete users
  • Add files to users profiles
  • Check users progress by reviewing certificates

Learner:

  • Check the calendar to schedule users for in-class dates
  • Take online courses yourself


Administrator Roles


Adding, Editing or Deleting Users

To add a user click Add User under the Users tab on the homepage. Here you will need to add their first name, last name, email, username, and password (they will be able to change their password once they log in). Please use an email they actively use. They will receive an automated email giving them their log-in information once you completed creating them.

You can always edit their info by clicking Users from the homepage and then clicking Edit by their name. If a user forgets their password you can create them a new one here as well.

Add Files to Users Profiles

You can also use the users Files to review certificates not generated by Mindwell Rx Academy (for example: Standard First Aid and Food Handlers). They will be uploaded to the user's files section after the course is completed going forward. Please feel free to use the files section yourself to give your users your own certificates, policies, or any other document you want them to have access to. You allow them to see the file by clicking User Can View That File. If it is a file you don't want them to access to but want it attached to their profile select User Cannot View That File.

Check Users Progress by Reviewing Certificates

You can review certificates by either seeing all of a specific users certificates or by reviewing all certificates from one course.

To review a specific user click Reports and then User Reports. Then select the specific user you'd like to review. From this page you can review their progress in each course by selecting Courses in the top bar. You can also review their certificates and when they expire by selecting Certificates.

To review certificates from one course click Reports and then Course Reports. From this page if you click Users you can sort by completion date and download certificates.


Learner Roles


Check the Calendar to Schedule Users for In-Class Dates

To review all up coming in-class courses, you can review the calendar by clicking it in the right toolbar. Ensure you have added all courses you want to see to your profile beforehand (only courses you've added from the course catalog will appear). Once you have reached the calendar it will automatically only show My Events. This means only courses you have been registered for an in-class date will appear. To see the entire catalog click the My Events tab above the calendar and select All Available Events. You can then click a course to see it's time, date, location, if it has a pre-course, and how many spots are available. The available spots will be in ALL CAPS in the course description.

Once you have found an available course and date for your (or many) user, then email support@mindwellrxacademy.com. In the email please send the users name, date, and course you want your user to be added to. You can send multiple users to book at once as long as there is space in the specific date. We will book the user for you, please do not register the user for an in-class date yourself.
